    Property managers deserve better than walking into every call blind.

    I was with a customer recently, listening back through a selection of their inbound calls and it was genuinely quite saddening. The way people speak to agents and property managers on the phone was hard to listen to. Unprompted aggression, real hostility, over things that in many cases weren't even the fault of the person picking up.

    Even after decades of working in and around property, I still find that difficult. These are good, professional people absorbing a lot that they shouldn't have to and most of the time they do it without complaint.

    What struck me sitting with that customer was how much easier things could be with just a little more context going in.

    Property management is a job where the emotional range of your day is enormous. A routine maintenance update, a tenant who's been patient for three weeks and finally run out of it, a landlord who wants reassurance after something they've read in the news. They all look exactly the same in a call queue. Walking into those conversations cold, with no sense of what's waiting, is just the reality most teams accept but it doesn't have to be that way.

    When conversations are understood before they reach the team, when urgency, frustration and intent have already been picked up and flagged, the person answering isn't starting from zero. They know roughly what they're stepping into and that changes how the conversation goes significantly.

    The difference between deescalating something and making it worse frequently comes down to whether the person had any context at all before they said hello.

    And it's not just about the difficult calls, the same principle makes sales conversations better too. A buyer who's been searching for six months and has just seen something that ticks every box needs a very different conversation to someone doing early research. Knowing that before you engage means you can actually be useful to them rather than just processing an enquiry.

    The why behind a conversation is usually where the real opportunity or the real risk sits.

    Knowing who's raging before you pick up is just the start of it, but honestly wouldn't it just make the day so much better for your property management team?
