Inbound is the lifeblood of an agency. But you don't really control it.
Portals dominate demand, marketing is competitive and expensive and when the market tightens so does your inbound. If you want to win consistently, predictable and proactive outbound has to be part of the picture.
I'm not talking about generic database blasting. I mean proper, well timed outbound that actually makes a difference.
· You've just listed a new property, are your most relevant local buyers having a conversation with you about it immediately? · You've agreed to a sale, is anyone proactively starting conversations with homeowners on the same road immediately? · A landlord's gas certificate is due next month, are they being contacted before it becomes an issue? · A new buyer registers interest, are you offering mortgage support while intent is high?
When outbound is done properly it makes a real difference. You can secure more instructions, properties sell and rent faster and property management actions happen on time. It doesn't just help sales and lettings, it supports your operations as a whole, lifting the entire business.
Agents are proactive by nature but it falls down because delivering consistent outbound at the right time is operationally difficult. It's also not just about taking the action, it's about handling and qualifying the opportunity once you get through.
Outbound actions and details often sit in people's heads, notes get added later and handoffs happen in passing. Someone says, "We should call everyone nearby tomorrow" and suddenly that depends on memory, time and manual effort. Consistency is hard when it depends on memory.
· What if the outreach didn't rely on someone remembering? · What if agreeing a sale automatically triggered a call to nearby homeowners? · What if registering a buyer scheduled a WhatsApp offering mortgage support? · What if a valuation that didn't convert triggered a call a few days later to check position?
Not spam, not generic blasts, not unread emails. Relevant, well timed calls and messages that happen automatically AND are able to have intelligent, contextual conversations.
Conversations that surface the right opportunities, gather additional information and qualify quietly. So that when a team member steps in, they're not starting from scratch they're stepping into a warm, informed conversation.
That's when outbound stops being reactive, starts becoming predictable and makes a difference.
